LRM Technologies (Pty) Ltd ("LRM", "we", "us", "our") is a South African digital agency registered and operating in the Republic of South Africa. We provide web development, mobile application development, SEO & AEO, Google and Facebook advertising management, cloud hosting, and field service management software (Plan My Crew).

2. Personal information we collect

We collect only what is necessary for the purposes described in this policy. This may include:

  • Contact & enquiry information — full name, email address, telephone number, company name, and project details submitted through our contact form.
  • Booking information — name, email address and calendar preferences collected when you schedule a call through Calendly.
  • Communication records — email correspondence, WhatsApp messages, and call notes relating to your enquiry or project.
  • Technical & usage data — IP address, browser type, pages visited, and time spent on the website, collected automatically via cookies and analytics tools.
  • Billing information — invoicing details (company name, address, VAT number) for clients. We do not store credit card or banking details — payments are processed through our banking partners directly.

3. How we collect your information

We collect personal information in the following ways:

  • Directly from you when you complete our contact form, book a call, send us an email, or contact us via WhatsApp.
  • Automatically through cookies and analytics when you visit our website.
  • From third-party platforms such as LinkedIn or Google when you contact us through those channels.

4. Why we process your information

We process personal information only for lawful purposes, including:

  • To respond to your enquiry and provide you with a quote or proposal.
  • To perform services under a contract with you or your organisation.
  • To manage our client relationship, including invoicing and support.
  • To send relevant service updates, project communications, and — where you have consented — marketing information about our services.
  • To comply with our legal obligations under South African law.
  • To improve our website and services through anonymised analytics.

We will not use your personal information for purposes unrelated to those for which it was collected without your prior consent.

5. Third parties we share information with

We share personal information only where necessary and with parties who are obliged to protect it:

  • Formspree (USA) — processes contact form submissions on our behalf. Formspree is GDPR-compliant and does not sell or share your data.
  • Calendly (USA) — manages appointment scheduling. Calendly's privacy policy governs data collected during the booking process.
  • Google (USA) — we may use Google Analytics to understand website usage. This data is anonymised and aggregated.
  • Meta / WhatsApp (USA) — if you contact us via WhatsApp, Meta's terms and privacy policy apply to that communication.
  • Accounting & legal professionals — we may share invoicing details with our accountants or legal advisors as required.

We do not sell, rent or trade your personal information to any third party for marketing purposes.

6. Transborder flows of personal information

Some of our third-party service providers (Formspree, Calendly, Google) are based outside South Africa. When your personal information is transferred to these providers, we ensure they maintain equivalent standards of protection as required by POPIA section 72, either through contractual obligations or recognised international data protection frameworks.

7. How long we keep your information

We retain personal information only for as long as necessary:

  • Enquiries that did not convert — deleted or anonymised within 12 months.
  • Active client records — retained for the duration of the engagement and for 5 years thereafter for legal and accounting purposes, as required by South African law.
  • Marketing consent records — retained until you withdraw consent.

8. Your rights under POPIA

As a data subject under POPIA, you have the right to:

  • Access — request confirmation of whether we hold your personal information and obtain a copy.
  • Correction — request that inaccurate or incomplete information be corrected.
  • Deletion — request the deletion of your personal information where we no longer have a lawful basis to retain it.
  • Objection — object to the processing of your personal information for direct marketing purposes at any time.
  • Withdraw consent — where processing is based on your consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
  • Lodge a complaint — submit a complaint to the Information Regulator of South Africa (details below).

9. Cookies

Our website uses cookies to enable core functionality (such as navigation) and to collect anonymised analytics data. You can control cookie settings through your browser. We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse. Our website is served over HTTPS. Access to personal information is restricted to authorised personnel only. In the event of a data breach that poses a risk to you, we will notify you and the Information Regulator as required by POPIA.

Our services are directed at businesses and adults. We do not knowingly collect personal information from persons under the age of 18. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

12. Changes to this policy

We may update this policy from time to time. Material changes will be posted on this page with an updated date. We encourage you to review this policy periodically. Continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
